Tree care is a relationship business. Customers expect you to remember their property: the gate code, what you quoted last spring, when a crew was last out. ArborDash keeps each customer's properties, notes, estimates, jobs, invoices, calls, and texts on one record, so anyone in the office can pull up the history when that customer calls.

A customer can have as many properties as they own. Each property has its own address, notes for gate codes and access, a USDA hardiness zone, and a satellite property map where you catalog its trees, shrubs, and beds. Jobs and estimates record which property they are for. When a customer calls about the lake house instead of their home, your team opens the customer, picks that property, and sees its notes and map, while the Estimates, Jobs, and Invoices tabs list what you have quoted, scheduled, and billed. The Activity tab logs calls and texts through your ArborDash number, emails ArborDash sends, portal activity, contacts your team logs by hand, and changes to the customer's estimates, jobs, and invoices along with who made them.

Leads get their own pipeline board, with columns for New, Contacted, Assessment Scheduled, Estimate Sent, and Approved, and a separate list for lost leads. New leads from your website form, forwarded lead emails, and the AI phone assistant or website chat (if you use them) land on the board without anyone typing them in. Booking a site visit from a lead moves it to Assessment Scheduled, and starting its estimate moves it to Estimate Sent. The list view shows how many times each lead has been contacted and when the last contact was, so leads that have gone quiet stand out. On the customer side, search matches name, company, email, phone, or address, and one click filters the list to business or residential accounts.

How It Works

  1. Add a customer: Enter contact details, add one or more properties, and write property notes for gate codes, dog warnings, or access restrictions.
  2. Build the record over time: Estimates, jobs, and invoices attach to the customer, and jobs and estimates also record which property they are for. Calls and texts through your ArborDash number and emails ArborDash sends show up on the customer's Activity tab.
  3. Find a customer fast: Search by name, company, email, phone, or address, or filter to business or residential accounts. Open a customer to see properties, estimates, jobs, invoices, messages, and activity on separate tabs.
  4. Track leads to close: New leads from your website form, forwarded lead emails, and the AI phone assistant land on the pipeline board on their own. Follow each lead from New through Assessment Scheduled and Estimate Sent to Approved.

CRM FAQ

Can I import my existing customer list?
Yes, from QuickBooks Online. Connect QuickBooks and your active customers come across with their names, company names, emails, phone numbers, and billing addresses, so you do not re-enter them. A customer's QuickBooks shipping address becomes their first property. There is no CSV import for customers. Leads can be imported from a CSV file, with each column mapped to a lead field.
Does the CRM support multiple properties per customer?
Yes. Many tree care customers own more than one property, and there is no limit on how many you add to a customer. Each property has its own address, notes, hardiness zone, and property map with its catalog of trees and plantings. When you create a job or estimate, you pick the property it is for.
How does lead management work?
New leads from your website form, forwarded lead emails, and the AI phone assistant or website chat are added to your pipeline on their own, and you can add others by hand or import a CSV. Each lead moves through New, Contacted, Assessment Scheduled, Estimate Sent, and Approved, or gets marked Lost. You drag a card from New to Contacted, and booking a site visit or starting the estimate from the lead moves it forward for you. Filter leads by status or source, search by name, email, or address, and switch between the pipeline board and a list.
